The terms and conditions apply for booking an excursion/incursion/camp/professional learning:
Fees and charges
- Costs associated with your excursion are provided in a separate document attached to your confirmation email.
- Schools are to confirm the number of students and classes at least 14 days prior to attending. Schools will be invoiced based on the number of students confirmed or number of students who attend on the day (whichever is greater).
Purchase orders/deposits
- Government schools are to sign and return the Journal Notice attached with your booking information no later than two weeks before your scheduled excursion date.
- Catholic schools are required to provide a purchase order number at least 7 days after receiving your excursion package/confirmation. An excursion quote is attached with your booking information. Failure to provide a purchase order number may mean that you excursion does not proceed.
- Other non-government schools are requested to provide a purchase order number or acknowledge the quote attached with a delegate’s signature.
- Schools may be requested to pay a non-refundable deposit prior to attending their excursion.
Cancellations/changes to bookings
- Once you have made a booking it is the booking/coordinating teachers’ responsibility to make sure that the confirmation email sent by Gibberagong EEC is correct and that the school community has been fully informed.
- If you need to change the date of your booking a minimum of 30 school working days written notice is to be emailed to Gibberagong EEC and acknowledged by Gibberagong EEC that your request has been actioned. It is recommended schools keep changes to a minimum. If there are regular and many requests to reschedule your excursion an admin fee of $75 per change may be invoiced to your school.
- Gibberagong EEC reserves the right to modify, postpone or cancel your excursion. This includes days predicted to be above 35 ° C, high winds, extreme bush fire danger, excessive rain, storms and dust storms. If you are unsure, please call David Smith (0425 270 124) on the morning of the program.
- If Gibberagong EEC must postpone or cancel your excursion no fees will be charged to your school.
- Gibberagong EEC does not cover the cost of cancelling your bus/transport booking.
In the event the booking/coordinating teacher leaves the school, is planned to leave the school or is taking personal leave, it is the schools’ responsibility to provide the details of this excursion to other staff members and fully inform their school executive. Failure to do so may mean your school does not arrive for the scheduled program and a cancellation fee equivalent to the full cost of the excursion will be invoiced.

Within 14 working school days of - excursion / incursion / camp / PL date: Total fee charged based on the confirmed student numbers or staff attending

How many students can attend an excursion?
Gibberagong EEC can take up to 4 classes per excursion, however this is dependent on the program, venue and availability of staff.
Please contact the Centre for more information.
For overnight camps at the Gibberagong EEC building we can take up to 28 students.

Booking the buses?
Who can book an excursion with Gibberagong EEC?
The centre is operated by the NSW Department of Education to support DoE schools.
The centre does accept bookings from non-DoE schools.

Can parents attend a Gibberagong EEC excursion?
We recommend no more than 2 parent helpers per class to attend, unless other specified by a particular program. It is at the discretion of the visiting school’s Principal if parents are asked to attend the excursion.
Parents are not permitted to bring siblings or relatives on excursion.
What should teachers and helpers wear?

What about canoeing/kayaking?
Gibberagong EEC adheres to the DoE Canoe policy.

All teachers and students must wear enclosed shoes for kayaking (old sneakers or water booties are ideal), as well as hats and shirts to cover shoulders.
What should students bring for day excursions?
Students need to bring their own food (low litter), drinks, sunblock, hats and wet weather gear carried in a small backpack or bag.
- Plastic bags are not suitable
- Umbrellas are not suitable
Only essential items should be brought. Students must eat breakfast on the day of the excursion. All students need to bring a water bottle. In summer months, students should bring two bottles of water, one of them frozen.

Does Gibberagong EEC have wheelchair access?
We have access to an off-road wheelchair and can modify programs and venues to ensure all students are fully included. Please contact the Centre to discuss your students particular needs.

What if the weather is wet on the day of the excursion?
The excursion is likely to go ahead if the forecast is for light showers, however if the forecast is for heavy rain, it is likely to be postponed. The Gibberagong EEC Principal will contact you by 6.30am on the morning of your excursion to decide if the excursion will go ahead. Mobile contact numbers for Gibberagong staff are available on the information emailed with excursion confirmation packages. If the excursion does go ahead, students will need wet weather jackets, umbrellas are not suitable. Gibberagong EEC does have a limited number of raincoats for unexpected rain if required.
If your excursion is cancelled/postponed, we will endeavour to find a suitable replacement date however we cannot guarantee a replacement date will be available.
What if extreme heat, wind or fire danger are predicted on the day of the excursion?
What happens if the weather conditions change during the excursion?
Student safety is paramount. Our staff continuing monitor the weather and any changing conditions.
If the temperature rises above 35 degrees, activities will be modified to reduce physical exertion. Students will be required to reduce physical play at meal breaks.
What happens if our student numbers change?
Are there worksheets for me to print?
Most of our senior programs have student worksheets, which the school will need to print and bring for student use on the day of your excursion. These worksheets will be emailed to the booking teacher.
Primary programs rarely use worksheets.
